Defect quoting

Fire defect quoting software: from the failed item to the approved quote.

A defect found on an AS 1851 inspection is the start of a rectification job, and most fire businesses lose it somewhere between the technician's notes and the office. Maintenance Partners captures the defect on the asset while the technician is standing in front of it, grades it the way the standard does, turns it into a quote the client approves from an email, and carries it through to the work order and the invoice. One thread of data, nothing re-keyed. Included in every licence at $150 per user per month ex GST.

The thread

Defect to quote to work order to invoice

Every step reads from the one before it, so the quote carries the inspection photo, the invoice carries the quote, and the asset carries all of it.

Captured during the inspection

A failed item on the AS 1851 form becomes a defect on the asset's record with its photo, severity and the technician's recommendation, before the technician leaves the site. No separate defect form, no notes to type up later. How an inspection runs.

Graded the way the standard grades it

Critical defect, non-critical defect or non-conformance, with the class recorded on the defect so the office can see at a glance which ones cannot wait. The defect classification guide explains the three classes.

Quoted without re-keying

A defect rectification quote is raised straight from the inspection record with the photo and the recommendation attached. Service quotes for new work come from the same module, priced from the same stock and labour records.

Approved from the emailed link

The client approves in the client portal or straight from the emailed link with no login needed. Approval creates the work order, completion creates the invoice, and the invoice reconciles to Xero, MYOB or QuickBooks Online.

Why it matters

Open defects are the thing an auditor asks about first

Every open defect in one view

Dashboards show defects outstanding by client, site and severity, so the office works the critical ones first and nothing waits in a technician's notebook. The insights module.

Called out before the AFSS is signed

The annual fire safety statement is built on the live record and lists every defect still open on the building before the owner signs. The compliance engine.

Visible to the building owner

Owners and managers see open faults with photos and the quotes waiting on them in their own portal, free and never a seat, which is the fastest way a quote gets approved.

Closed on the asset

Rectification, retest and close-out land on the asset's own history next to the inspection that found the fault, so the audit trail is the record itself.

Questions

Defect quoting questions, answered.

How does a defect become a quote?

The technician marks the item failed on the AS 1851 form and records the photo, severity and recommendation. The office raises a defect rectification quote straight from that record, with the evidence attached, and sends it to the client. There is no re-keying between the inspection and the quote.

Does the client need a login to approve a quote?

No. Clients approve from the emailed link, or in the client portal if they use it. Approval creates the work order.

How are defects classified?

As a critical defect, a non-critical defect or a non-conformance, following AS 1851, with the class recorded on the defect and visible on dashboards and the AFSS exposure view. Read the classification guide.

Does the invoice reach our accounting system?

Yes. Invoices reconcile to Xero, MYOB or QuickBooks Online. All three connectors are live and included in the licence. Integrations.

Is defect quoting a separate module or an add-on?

It is included. Maintenance Partners is $150 per user per month ex GST ($165 inc GST) with every module included: field app, office portal, compliance engine, asset registers, scheduling, defect quoting, invoicing, client portal and integrations.
