1. Who we are
This policy is issued by Maintenance Partners Pty Ltd, an Australian company based in Newcastle, New South Wales. In this policy, "we", "us", and "our" refer to Maintenance Partners Pty Ltd. "You" refers to any individual whose personal information we hold or process, including customers, prospective customers, their employees, and their clients.
2. What we collect
We collect personal information that you give us directly and information generated when you use our website or platform. We do not purchase personal information from data brokers. We do not collect sensitive information (as defined by the Privacy Act 1988) unless it is volunteered as part of an inspection record and clearly relevant to the service you are delivering.
When you complete the contact form on our website, we collect the following personal information that you submit: full name, work email, direct phone, role or job title, company name, company size, primary industry, number of sites managed, current compliance solution, AS1851 scope, technician count, licenses required, decision timeline, primary interest, and any notes you add. All fields other than those marked required are optional. We do not log your IP address or browser fingerprint at form submission time.
When you use the platform as a customer, we collect the account and billing details you provide, authentication metadata, platform usage data, and the operational data your business records on the platform in the course of providing fire protection services.
3. Why we collect it
We collect personal information to deliver the Maintenance Partners platform to you, to respond to enquiries submitted through the contact form, to operate our business, to communicate with you about the product, to comply with Australian law, and to improve the service over time. We do not sell personal information and we do not share it with third parties for their own marketing purposes.
4. Where it is stored
Personal information and operational data on the platform are stored in Australian data centres operated by reputable cloud infrastructure providers. Backups are replicated within Australia. Enquiry data submitted through the website contact form is stored against your prospect record in systems under our direct control.
5. Disclosure to overseas recipients
Under Australian Privacy Principle 8, we disclose the following overseas data flows that occur as part of running this website and the platform:
- Google LLC (United States) — the website loads typography (Inter and Plus Jakarta Sans) from Google Fonts. When your browser renders any page on this site, your IP address and user agent are disclosed to Google in order to serve the font files. Google is bound by the EU-US Data Privacy Framework and publishes its own privacy commitments at policies.google.com/privacy. We do not use Google Analytics, Google Tag Manager, reCAPTCHA, or any other Google service on this site.
- Transactional email and error monitoring providers — supporting services for customer communications and operational reliability may process limited technical data outside Australia in countries with data protection frameworks compatible with the Australian Privacy Principles. Current sub-processors are listed in our data processing agreement and updated on material change.
No other personal information leaves Australia as part of the website or the platform.
6. How we protect it
We apply encryption in transit and at rest, enforce role-based access control, log administrative actions, and require multi-factor authentication for privileged access. Independent security review is part of our release cadence.
7. Client portal sign-in
The client portal at portal/login.html is invite only while the platform opens to foundation customers. The sign-in form is present so foundation customers have a familiar place to return to, but the public website does not yet authenticate submissions. Credentials entered into the form are not transmitted to any server and are not stored. Every submission returns the same message directing you to register through the contact form. Autocomplete is disabled on the inputs so your browser does not offer to save a password against a placeholder account.
8. Your rights
Under the Australian Privacy Act, you have the right to access the personal information we hold about you, to request correction of inaccurate data, and to complain about the way we have handled your information. Requests should be sent to admin@maintenancepartners.com.au. We respond within 30 days.
9. Cookies and local storage
Our website uses strictly necessary local storage for theme preferences (the mp-theme key) and announcement dismissal (the mp-announce-dismissed key). We do not set HTTP cookies on the marketing website. We do not use third-party advertising cookies or cross-site tracking. Any future analytics usage will be documented here before going live.
10. Changes to this policy
We may update this policy from time to time. Material changes will be announced on the website and, for existing customers, by email. The "Last updated" date above always reflects the current version.
